We’re seeking a dedicated Customer Service Specialist who will be the first point of contact for our prospective customers, acting as a central sales/receptionist to manage inbound leads and provide exceptional service.

Position Overview

The Customer Service Specialist will play a pivotal role in our sales and customer service operations. This position is ideal for an organized, personable, and customer-oriented individual who excels in communication and multitasking. You will be responsible for handling incoming calls and emails from potential customers interested in new home builds, guiding them through the initial stages of their journey with Willow Branch Homes.

Key Responsibilities

  • Serve as the first point of contact for potential customers, providing prompt, friendly, and efficient customer service.
  • Manage inbound leads through calls and emails, capturing key information and directing inquiries to the appropriate sales team members.
  • Schedule appointments and follow up with potential customers to ensure their questions are answered and needs are met.
  • Maintain a comprehensive understanding of our home models, communities, and the home building process to provide accurate and helpful information.
  • Coordinate with the sales and marketing teams to support sales initiatives and improve customer engagement strategies.
  • Keep accurate records of customer interactions, transactions, and feedback in our CRM system.
  • Assist in the development and implementation of customer service protocols and best practices.
  • Provide administrative support to the sales team as needed, including preparing documents and reports.
  • Handle customer complaints or concerns with a professional demeanor, working to resolve issues promptly and maintain customer satisfaction.


  • High school diploma or equivalent; a degree in business, communications, or a related field is a plus.
  • Proven experience in customer service, sales, or a related role, preferably in the real estate or homebuilding industry.
  • Excellent communication skills, both verbal and written, with the ability to engage effectively with a diverse range of individuals.
  • Strong organizational skills and the ability to manage multiple tasks and inquiries simultaneously.
  • Proficiency in CRM software and Microsoft Office Suite.
  • A customer-first mindset, with a commitment to delivering high-quality service and support.
  • Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills.
